About the role:
The Senior Executive Administrative Assistant plays a crucial role to support members of the Executive HR leadership team at our global headquarters located in Palm Beach Gardens, FL. The ideal candidate is highly detail-oriented, capable of managing multiple tasks and priorities and possesses exceptional problem-solving skills. They must be adept at building trust while handling highly sensitive and confidential information. This role requires coordinating meetings and communications between senior leaders and the global HR community, as well as assisting with event and candidate scheduling as well as meeting preparations as needed.

Key Responsibilities:
Executive Support:
- Manage and optimize calendars: Efficiently schedule meetings, global travel, and key events, ensuring optimal time management and prioritization.
- Oversee communication flow: Handle incoming communication, prioritize requests, and ensure timely follow-up to maintain smooth operations.
- Maintain dynamic schedules: Adjust meeting and conference schedules based on evolving priorities to ensure seamless coordination.
- Coordinate travel arrangements: Organize domestic and international travel, including detailed meeting and travel itineraries, to support executive needs.
- Manage logistical arrangements: Oversee logistical details for leadership meetings to guarantee flawless execution.
- Analyze complex information requests: Handle information requests with the highest level of confidentiality and professionalism.
- Interface professionally: Engage with all levels of the organization and external stakeholders in a professional and effective manner.
Stakeholder Engagement & Communication:
- Serve as a key liaison between the HR Executive team and internal/external stakeholders.
- Manage high-level communications, ensuring a professional and consistent professional presence.
- Plan and execute HR-related events, leadership summits, and key business engagements.
- Foster strong relationships with HR leadership, cross-functional teams, and external partners.
- Administrative Excellence
- Develop and implement efficient administrative processes to enhance workflow and productivity.
- Handle expense reporting, procurement requests, and vendor management as needed.
- Manage special assignments and confidential projects with a high level of discretion and professionalism.
Required Qualifications:
- Associates degree
- 10+ years of experience as an Executive Assistant including support of HR senior leadership and/or C-suite executives.
Preferred Qualifications:
- Bachelor’s degree preferred (HR, Business Administration, or related field).
- Technical Proficiency: Strong Microsoft Office (Outlook, PowerPoint, Excel, Word), virtual collaboration tools (Zoom, Teams)
- Confidentiality: Proven ability to handle sensitive information with discretion.
- Communication: Excellent written and verbal communication skills with a strong attention to detail.
- Problem-Solving: Ability to anticipate needs, troubleshoot issues, and proactively support executive priorities.
- Time Management: Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
