Position Summary
The Business Operations & Executive Assistant provides administrative and strategic support to the SVP & President of the HVAC Asia Pacific, Middle East, and Africa (APMEA) region while coordinating across the Regional Executive Leadership Team. This role ensures seamless communication, operational efficiency, and alignment across regional leaders. Responsibilities include executive calendar management, meeting coordination, stakeholder communication, and strategic support as needed. The ideal candidate is highly organized, proactive, and skilled at managing executive-level tasks.
Key Responsibilities
Administrative Support & Executive Coordination
- Manage and prioritize the executive’s calendar, scheduling meetings, appointments, and travel arrangements.
- Coordinate Regional Executive Leadership Team meetings, including agenda preparation, materials distribution, note-taking, and follow-up on action items in collaboration with the President's Chief of Staff.
- Screen and prioritize emails, phone calls, and correspondence, responding on behalf of the executive as needed.
- Handle expense reporting, invoice processing, and other administrative tasks.
- Organize and maintain digital files, ensuring easy access to key documents.
- Serve as the primary liaison between the executive and internal/external stakeholders.
Executive Communications & Relationship Management
- Draft, edit, and distribute internal and external communications on behalf of the executive, collaborating with the business’ communications team and internal processes.
- Coordinate messaging and logistics for town halls, leadership updates, and key communications.
- Facilitate cross-functional collaboration between regional leaders, ensuring alignment on priorities.
- Strategic Support & Project Coordination
- Assist in driving key strategic initiatives by coordinating deliverables and tracking progress.
- Support special projects by facilitating collaboration between cross-functional teams.
Required Qualifications
- Bachelor’s Degree
- 10+ years of experience in executive support or administrative coordination, supporting C-suite leaders and their teams.
Preferred Qualifications
- Strong written and verbal communication skills, with the ability to synthesize complex information.
- Excellent organizational skills and attention to detail.
- Ability to manage multiple priorities, deadlines, and confidential information.
- Experience working with senior leadership in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and collaboration tools (Teams, SharePoint, etc.).
- Experience in corporate strategy, business operations, or communications is a plus.
- Strong interpersonal skills and the ability to build relationships across all levels of an organization.
- Proactive problem solver with a strategic mindset.
- Ability to anticipate needs, take initiative, and adapt to changing priorities.
- Comfortable navigating ambiguity and managing competing demands.
