Assistant Service Manager

The Assistant Service Manager supports the Service Operations team by managing the renewal of service agreements, coordinating service repair activities, and overseeing the inspector team. This role ensures timely contract renewals, accurate repair execution, and high-quality inspections, contributing to customer satisfaction and operational excellence.
Key Responsibilities
Service Agreement Renewal
- Manage the 120-day renewal cycle, ensuring customer acceptance at least 30 days before expiration.
- Prepare renewal documentation including equipment lists, tasking schedules, and profitability reports.
- Collaborate with Service Account Managers to review actual vs. estimated margins, labor, expenses, and scope changes.
- Track renewal opportunities in Salesforce.
- Lead renewal meetings to finalize terms and ensure continuity in service delivery.
Service Repair Coordination
- Support technicians in executing break-fix repairs and quoted service projects.
- Monitor service repair contracts for completeness and compliance with financial recognition policies.
- Assist in troubleshooting and escalation of complex service issues.
Inspector Team Management
- Supervise the inspector team to ensure inspections are performed on schedule and meet quality standards.
- Review inspection reports for completeness, accuracy, and clarity before submission.
- Provide guidance and training to inspectors on technical standards and reporting expectations.
- Coordinate inspection schedules to align with service agreements and customer commitments.
- Address delays or issues in inspection execution and implement corrective actions.
Operational Support
- Maintain accurate records of service agreements, repair jobs, and inspection activities.
- Liaise with finance and sales teams to ensure alignment on pricing, invoicing, and revenue recognition.
- Recommend process improvements to enhance efficiency and reduce errors.
Qualifications
- Bachelor’s degree in engineering, Business Administration, or related field.
- Minimum 3–5 years of experience in service operations, preferably in HVAC or industrial services.
- Familiarity with Salesforce and SAP systems.
- Strong organizational and communication skills.
- Ability to manage multiple priorities and lead cross-functional teams.
