About the role

Role Responsibilities:

  • 1. EH&S Administrative Support

    • Provide day‑to‑day administrative support to the EH&S team, including document preparation, record keeping, and filing.

    • Assist in preparing EH&S reports, summaries, dashboards, and presentation materials (e.g. Zone Board, committee updates).

    • Maintain EH&S documentation in accordance with company procedures and audit requirements.

  • 2. Coordination & Communication

    • Coordinate EH&S meetings, including scheduling, meeting room booking, agenda circulation, and minute taking.

    • Act as a liaison between EH&S, internal departments, subcontractors, and external parties on administrative and follow‑up matters.

    • Support communication related to EH&S initiatives, reminders, training invitations, and compliance follow‑ups.

  • 3. Subcontractor & Site Records Support

    • Support the administration of subcontractor‑related EH&S records, including daily duty reports, audit tracking, and follow‑up status.

    • Assist in monitoring submission status and flag overdue or missing records for follow‑up by the EH&S team.

    • Maintain structured records for subcontractor audits, inspections, and corrective action tracking.

  • 4. Data Management & System Support

    • Maintain and update EH&S databases, spreadsheets, and online forms (e.g. reporting or approval platforms).

    • Assist in data consolidation, basic analysis, and preparation of periodic statistics (e.g. reporting rates, audit coverage).

    • Support continuous improvement of administrative workflows to improve efficiency and data accuracy.

  • 5. General Office & Ad‑hoc Support

    • Provide general office administration support related to EH&S activities as required.

    • Support special projects, audits, campaigns, or events related to EH&S.

    • Perform other ad‑hoc duties assigned by the EH&S Manager.

Role Purpose:

  • Providing administrative, coordination, and reporting support to the EH&S function.

  • The role ensures timely documentation, effective communication with internal stakeholders and subcontractors, and accurate maintenance of EH&S records, reports, and systems to support regulatory compliance and internal governance.

Minimum Requirements:

  • Diploma or above in Business Administration, Management, or related disciplines.

  • At least 2-3 years of administrative or coordination experience; experience supporting EH&S, facilities, or engineering teams is an advantage.

  • Proficiency in using MS Office (i.e. Word, Excel, PowerPoint). Excel (especially formular setting & application) & Power Point) is a must and Chinese typing is essential.

  • Experience with online forms or workflow platforms application is an advantage.

  • Proficiency in spoken and written English and Chinese

  • Independent, strong sense of responsibility, good communication skills and able to work under pressure

  • Ability to handle multiple tasks, prioritize workload, and meet deadlines.

  • Immediate available is an advantage
